Who we are

myLegacyOS is a registration and league-operations platform built by LegacyOS Technologies LLC for youth sports organizations — including Haltom City Impact Girls Kickball. Each league runs its own site on our platform (for example, hci.mylegacyos.app). This policy covers all of them.

What we collect

Everything we hold is information a parent or guardian enters to run their family's league life: account details (name, email, password), player registration details (name, birthdate, division, jersey preferences), emergency contacts, medical notes a guardian chooses to share, home address, volunteer applications, and payment records. Card and bank details are handled entirely by Stripe — they never touch our servers. We do not run advertising or sell data, and we collect nothing beyond what league operations need.

Children's information

Player profiles describe children, but they are created and controlled by parents and guardians — children never create accounts or enter information themselves. A player's information is visible only to her guardians and her league's administrators, never to other families or the public. Photo and video consent is an explicit choice made during registration, recorded permanently, and honored either way.

Who can see what

Your league's administrators see the records needed to run the league. Coaches see their team's roster and safety essentials. Other families see nothing about yours. Public league pages show schedules, standings, and team names — never a child's personal details.

Services we rely on

We use a small set of processors to operate: Supabase (database and authentication), Vercel (hosting), Stripe (payments), Resend (email delivery), and Google (sign-in and address autocomplete, when you use them). Each receives only what its job requires.

Advertising measurement

The league may run Google Ads to reach families. When it does, we load Google’s measurement tag on our public pages for visitors who are not signed in, to count whether an ad led to a sign-up. It does not load on any signed-in family page, we send Google no names, emails or form answers, and Google’s ad personalization is switched off. Google may set cookies; you can decline by enabling Do Not Track or Global Privacy Control in your browser, or by blocking cookies.

Retention & your rights

Registration and payment records are kept as league records for as long as your league operates, as its bylaws and financial rules require. You can review and update your family's information anytime from your account. To request a copy or deletion of your family's data, contact your league or email us at the address below — we'll respond within 30 days, keeping only what the league is legally or financially required to retain.

Security

Data is encrypted in transit, access is role-restricted at the database level, and money state can never be changed from a browser — only by verified, server-side events.
